Why an Event Coordinator?

Sure, you could do it on your own

But lets take a moment to really think this through, before we make any rash decisions. Shall we?


Lets set the scene... 


The morning of your event you wake up butterflies in your stomach because the day you have been planning for months or even years has finally arrived. You have your bag of must haves with your besties by your side jamming out to your favorite hype music, sipping mimosa's, and soaking in each moment until "the" moment everyone has been waiting for.  


You spend hours upon hours thinking of every little detail ensuring every guest feels included and comfortable. You splurged on memorable assets like food, drinks, and entertainment. You visited countless venues until you found the one that spoke to you and provided the perfect backdrop for your photos. You take extra time to get all dressed up and make sure you have professionals to document it all. You have thought of almost everything!


But who is actually going to combine your vision, attention to details, vendor team, and keep your timeline in order? Who will be your eyes, ears, and voice to take the event from a mood board to a real life production? A production that you are fully immersed within, creating memories and shared experiences with your loved ones not one where you are sweating makeup off and playing 20 questions with the guests and vendors. 

Who will:

  1. Greet the vendors upon each of their arrivals?
  2. Answer vendor questions when their GPS misdirects them, they need special assistance or something?
  3. Ensure vendors arrive on time and have the materials and access they need?
  4. Communicate last minute timeline or format changes that occur to keep the flow?
  5. Ensure that each area of the event space is set up and all of the details are in place?
  6. Direct or answer attendee questions about where they should sit, how to get to the bathrooms, when the shuttle will return, etc? 
  7. Wrangle together the bridal party or family members for important photo opportunities?
  8. Preparing your Photographer/Videographer when important moments are about to happen? 
  9. Clean up all of the decorations after you've been on your feet all day and just want to go lay down?
  10. Package up leftovers and decorations to take home?
  11. Validate timelines and contracts responsibilities are fulfilled?
  12. Make sure your guestbook actually gets signed? 
  13. Ensure the security of your gifts/guestbook/cards?
  14. Guide your flower girl/ring bearer and bridal party make it down the aisle to the right music? 
  15. Breakdown tables and shift things around in the background to ensure the dance floor can open on time?


You wouldn't want to ask family and friends that were invited to partake and engage in the building of memories at such an important event to have to take on the responsibilities above - would you?
